Why am I getting boucebacks from invalid email addresses using my domain name?

The Internet email system (SMTP) was not created to allow authentication of emails so anyone can use any email address as the sender of an email. Thus spammers can send emails that look like they come from your domain name.

Spammers will also use a computer program to try to find your real email addresses by sending test messages to every iteration of username@yourdomain.com. For example they might send to svpoiw@yourdomain.com. If you have the catch-all set up in the WebsiteOS to forward messages to another email address, you will receive these spam emails. Also, when spammers send these messages, they often use another email address at yourdomain.com as the sender hoping this will get the message through SPAM filters.  If you have a catch-all set up, you will see the bouncebacks of these spams.

There isn't a good solution to this problem, yet, except to turn off the catch-all, don't use easy to guess email addresses, and never post your email address to a website or display it on your website as a mailto: link.

How to setup DNS if I have my own mail server.

Let's assume that your domain name for your website is yourdomain.com.  In the DNS Manager for yourdomain.com:

1.  Change the A record for mail.yourdomain.com to point to the IP number of your new mail server.

2.  Remove each of these MX records for yourdomain.com:

MX 10 mx1.megamailservers.com.
MX 100 mx2.megamailservers.com.
MX 110 mx3.megamailservers.com.

3. Add a MX record for your new mail server.

MX 10 mail.yourdomain.com.   (note the ending period is necessary)

4. Email us that you are not using our mail servers so that we can remove you from our sendmail.cw file.  This file tells our mail servers to handle mail for you. If you don't have us remove this, you may lose email sent from your website via webforms and email sent by other domains that use our mail servers.

It is best to make this change on a Friday so that DNS can propogate over the weekend.

My third-party spam service is not able to send email to my email accounts

The destination IP/Host that a third-party spam filtering company uses should be changed to:

IN MX 5 mx1c0.megamailservers.com.
IN MX 10 mx2c0.megamailservers.com.
IN MX 15 mx3c0.megamailservers.com.

They should not be sending email to mail.yourdomain.com or 216.251.32.97 directly.

In addition, please email us the IP addresses of the spam filtering servers so we can whitelist them in our filters.

"Connection refused due to abuse" error

Our mail servers have a proactive spam filter that may block emails delivered from a specific mail server if the filter thinks the mail server is sending spam or if the mail server has been added to one of popular spam blacklists. The bounce back error message will be similar to this:

The following recipient(s) could not be reached:

      John Doe on 11/02/2008 11:08
            You do not have permission to send to this recipient.  For assistance, contact your system administrator.
            <jdaphot.com #5.7.1 smtp;550 5.7.1 johndoe@domain.com... H:MXB[218.39.144.12]Connection refused due to abuse>

 

Please forward this email to us and we will whitelist the IP number of the mail server.  The IP number is in [].  In this case the mail server IP number is 218.39.144.12.

How do I send an email as an attachment?

To do this, highlight the email message that you want to attach in your list of messages in your Inbox. Hit Ctrl-C to copy to the clipboard. Open up a new email and put the cursor in the body of the email and click the left mouse button. Then hit Ctrl-V to paste the email as an attachment.

How do I setup IMAP on an iPad or iPhone?

Most Apple products require an SSL connection for connecting to email servers by default.  If you wish to connect without SSL, you will need to setup the account and then disable SSL in the Advanced settings.  This web page demonstrates how to do this on an iPhone.  The iPad is similar.

You can use SSL by using the IMAP settings below:

username:  user.domain.com 
password: the password you created for your account

incoming mail server: securemail.megamailservers.com
port: 993
SSL: This Server Requires and encrypted connection

outgoing mail server: securemail.megamailservers.com
port: 25 (or 1025 if 25 is being blocked by your ISP)
SSL: This Server Requires and encrypted connection

You also should set Server Timeouts to the maximum (this helps prevent email box locking) and enable SMTP authentication for outgoing email.

I cannot send email -- outgoing mail server SMTP error

First, check to make sure you have SMTP Authentication turned on and Server Timeouts set to the maximum in your email application.

Second, many ISPs including Charter and TDS are blocking the sending of email via SMTP port 25 through any mail server but their own server.  You may be able to bypass this by changing the SMTP port for outgoing email in your email program from 25 to 1025.  This setting is under the Advanced tab in Outlook.

Another solution may be to use your ISP's mail server to send email. For example, if you have Charter, change your SMTP server to smtp.charter.net and make sure the box "My Server Requires Authentication" is unchecked. Everything else can stay the same.

Error: 552 5.2.2 User's mailbox is full

Each mailbox is assigned a set MB limit of how much email the user may store on the server.

If you go over this limit, people sending you email will receive a bounceback email error message with this error: 552 5.2.2 User's mailbox is full.

In your email client, make sure you have "Leave Mail on the Server" unchecked and then download your email.

Remember that if you have the Spam Filtering enabled and set to Quarantine Email, these emails are stored in your Webmail Junk Folder and count towards your total.  Junk Email does not get removed when you download all email using your email client.

In Webmail, you can delete all messages in the Junk Folder by right-clicking on the folder name and selecting Empty Folder.  If your mailbox is full, you will get a Disk Quota Exceeded error.  Deleting messages by default moves them into the Trash folder. If you have exceeded your allotted email disk quota, the system can not delete the message. The solution is to click on Preferences and the scroll down to the "What to do when messages are deleted:" question and select "Permanently delete." Then click Save.  Then Empty the Junk Folder. Messages are not moved to the Trash folder when deleted but are permanently deleted.

I am not receiving all the email sent to me. Why?

A: If you are using your own Spam Filter, check to see if it is working. If you are using our Spam Filter, please go into EasyMail in the WebsiteOS and disable it and see if that helps.

If you still want to use our Spam Filter, set it to it's lowest aggressiveness by selecting Light Filtering on the Advanced Spam Filtering screen. Then add the domain names you want to make sure you get email from to the Always Allow List.

You should also set the Delivery Option to Tag and Deliver Spam instead of Delete Spam.  If you set to Quarantine Spam, email flagged as spam will now be stored in a folder that you can access using the Webmail application.

I want to use your mail servers and EasyMail


If you want to do your own DNS but use our mail servers, you need to point your DNS to this IP number:

mail.domain.com --> 216.251.32.97

and then add the below MX mail records to the DNS for domain.com unless we gave you different MX records to use:

Email forwarding does not appear to work

Question:

I set up several aliases for my domain that forward to the individual's real email address so that the appropriate people receive submissions from the website. However, no one is getting the forwarded emails. I tested it out by changing the 'forward to' address to my own address, just to see if it was user error, and I didn't receive the test email I sent.

Is there a step I'm missing?

Answer:

Please wait up to 30 minutes before testing a new email alias. It may take a while for the sendmail files to be updated with new configurations from the WebsiteOS if there are other maintenance activities going on.

There may also be a problem at the forwarded to email box. For example, if they have SPAM filtering enabled they may be blocking the email. We recommend that you create real email accounts using EasyMail and download your email from this email box instead of forwarding it.

Relaying denied: You must check for new mail before sending

To reduce SPAMMING, we require you to authenticate who you are before you can send email. You may receive an error message similar to this:

"The message could not be sent because one of the recipients was rejected by the server. The rejected e-mail address was 'Big66K@aol.com'. Subject 'Re: Green Fees', Account: 'GlenErinGolf - info', Server: 'mail.gleneringolf.com', Protocol: SMTP, Server Response: '550 5.7.1 <Big66K@aol.com>... Relaying denied: You must check for new mail before sending mail.', Port: 25, Secure(SSL): No, Server Error: 550, Error Number: 0x800CCC79"

If you download your your email first and then send email, you may not get this error message because the process of downloading email authenticates you to the server.

In Outlook, go to Tools, Accounts, select your email account, then choose Properties, then Servers, and check the box that says "My server requires authentication." Under Settings make sure "Use same settings as my incoming mail server" is selected UNLESS you are using Norton AntiVirus. Norton changes your incoming mail server to itself when it is installed. You will need to select "Logon using" and then enter your accountname (for example: info.gleneringolf.com -- remember to use a period instead of the @ sign) and your password. Also check "Remember Password."

Error: 216.251.32.97 does not like recipient.

If someone sending you email gets this bounceback error message:

216.251.32.97 does not like recipient.
Remote host said: 551 5.1.8 Relaying denied: From address can not be a remote host, please enable SMTP authentication.
Giving up on 216.251.32.97.

This usually means that you have are using mail.megamailservers.com as an MX record in your DNS. The solution is to replace this record in your DNS:

@   43200 MX 10 mail.megamailservers.com.

with

@    43200 MX 10 mx1.megamailservers.com.

AutoResponders are not working

Autoresponders do not work if the email for an email address is being forwarded and the "Keep a copy of forwarded email in this account's mailbox" is not checked.

Checking the box for this fixes the problem.
